How the HubSpot import works

In HubSpot, go to Contacts → Import → Start an import → File from computer, and upload Karo's CSV. HubSpot recognizes the headers and proposes mappings automatically:

  • Karo first/last name → HubSpot First name / Last name
  • Karo email → Email (HubSpot's dedupe key, re-imports update instead of duplicating)
  • Karo company → Company name; title → Job title
  • Karo phone / website → Phone number / Website URL
  • Karo event, notes, transcript → your custom properties or a note

A 200-lead import typically takes under two minutes end to end.

Will re-importing create duplicate contacts?+

No, HubSpot dedupes on email during CSV imports, so re-importing an updated export updates existing contacts rather than duplicating them.

Does this work with free HubSpot CRM?+

Yes. CSV import is available on HubSpot's free tier, so the whole Karo → HubSpot flow costs nothing beyond your Karo scans.

Can I bring the event name into HubSpot?+

Yes, map Karo's event column to any HubSpot property (a custom "Event" property works well) and you can build lists and reports per conference.

How accurate are the scanned fields?+

Each card is read automatically and given a confidence score; uncertain scans are flagged for a quick review before export, so what reaches HubSpot is verified data.
